Overview
The People Ops Specialist (Benefits, Payroll, and Office Admin) is a member of BrainGu's People Operations team. This individual is tasked with managing employee benefits programs and payroll processing to ensure BrainGu's compliance with state and federal laws and regulations.
As a People Ops Specialist, you will manage all aspects of employee benefits and payroll administration, including evaluating wellness programs' benefits and costs, resolving disputes, reviewing invoices, and reporting expenses and fees to the Finance Department. Additionally, you will serve as the main point of contact for our Tysons, VA office, managing day-to-day operations, supplies, and equipment and coordinating with vendors and service providers.
Responsibilities
- Assist in the day-to-day Benefits management process, including but not limited to:
- Responds to benefits inquiries from managers and employees on plan provisions, benefits enrollments, status changes, and other general questions
- Ensures the accuracy of all benefits enrollments in the HRIS to provide vendors with accurate eligibility information
- Assists with the open enrollment process, enrolls new employees with carriers, and processes life status changes
- Processes and administers all leave-of-absence requests and disability paperwork (medical, personal, disability, and FMLA)
- Effectively interprets FMLA and ADA implications as they relate to leaves of absence/disabilities
- Responds to 401(k) inquiries from managers and employees about enrollments, plan changes, and contribution amounts. Manages the annual catch-up contribution enrollment
- Implements, maintains, and reviews payroll processing and accounting systems to ensure timely and accurate processing of payroll transactions; ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices
- Ensures accurate and timely processing of payroll updates, including new hires, terminations, and changes to pay rates
- Register new states with the proper state withholding and unemployment agency
- Review and confirm the required payroll tax form submission with federal, state, and local government agencies
- Reconciles and prepares periodic (monthly) balance sheets to reflect benefits and payroll accounts
- Verifies payment of benefit vendor and payroll invoices and ensures payments are charged to the appropriate GL accounts
- Provide routine facility support including but not limited to drinks/snacks replenishment, familiarization and setup for new employees, and a set of eyes on the general upkeep of the facility and recommend replacements or upgrades.
Requirements
- This position may require a US Government Clearance, which requires US Citizenship
- Must have at least two years of experience with benefits, payroll, or in a similar role
- Must have a working knowledge of at least one HR Information System (HRIS) or one Payroll System
- Must have demonstrated communication skills, including the ability to communicate effectively with employees, vendors, and executives
- Must have demonstrated the ability to maintain strict confidentiality and handle sensitive employee information with discretion
- Must have strong problem-solving skills and the ability to quickly resolve issues related to payroll, benefits, or office management
