Payroll & Benefits Administrator

The Payroll & Benefits Administrator facilitates all aspects of Payroll, Benefits, Worker’s Compensation, and Employee Leave Programs. Ensures compliance with all Company policies, Federal, State, and local laws, consistency in effective processing and maintenance of all pay, benefit, and employee leave initiatives. Develops and maintains relationships internally and continually works to identify opportunities to improve operational efficiencies.

Duties and responsibilities include, but are not limited to:

  • Provides excellent customer service to all branch and corporate office employees by providing assistance and responding to requests pertaining to payroll and benefits promptly and professionally.
  • Responsible for processing bi-weekly, monthly, and quarterly payrolls. Submit timely and accurate payroll transactions ensuring payroll process complies with all applicable Federal, State, and local laws. Follows-up on what is needed to ensure payroll process is completed in a timely manner.
  • Analyzes, prepares, and inputs payroll data and ensures accurate calculation of pay hours, earnings, deduction, taxes, reporting, payroll account funding.
  • Responsible for knowing and communicating payroll procedures and wage and hour laws and policies.
  • Maintains payroll records using proper records retention guidelines for future questions, audits, and reporting.
  • Provides reports and information to financial institutions, tax filing services, third party benefit and other organizations such as the Office of Attorney General. Provides yearly audit reports to various third-party vendors.
  • Prepares weekly, monthly, quarterly, and year-end reports for management.
  • Conducts tax reconciliation, year-end tax document analysis and submits amended returns, if needed. Completes year-end process.
  • Responsible for ensuring new hire, employee change, and termination processes are complete and accurate. Processes all garnishments.
  • Ensures Company I-9 document compliance. Maintain accurate records to file EEO-1 report.
  • Processes new hire paperwork as it relates to Benefits, eligibility, and selection, maintains up to date benefit information for employees,
  • Coordinates COBRA eligibility and processing with third-party vendor.
  • Coordinates 401k program, maintenance, testing and auditing.
  • Creates monthly manager reporting, OSHA reporting and ad-hoc payroll and benefit reporting as necessary
  • Processes and facilitates worker’s compensation program, ensures compliance as it relates to Federal and State laws, maintains employee files, and facilitates worker’s compensation claims
  • Determine eligibility for various leave programs including Family and Medical Leave (FMLA), long term absences and temporary disability leave according to established guidelines and provide employees with required timely notice.
  • Coordinates with employees and supervisors concerning leave benefits and provide employees with accurate information on deductions from pay relating to absences, medical certification requirements, return-to-work dates, etc.
  • Completes written and verbal employment verification requests.
  • Represents Company at factory, industry, and company events, including meetings and training
  • Follows all safety rules and regulations while performing work assignments and adheres to all policies and procedures as specified in company manuals and as directed in the employee handbook
  • Performs all other duties as assigned by management in a professional and efficient manner

Desired Skills and Experience:

  • High School Diploma - college degree preferred
  • 5+ years Payroll & Benefit experience
  • Extensive knowledge of payroll policies, procedures, wage and hour law, FLSA, pay and benefit compliance, and ability to maintain all aspects of confidentiality
  • FPC or CPP a plus
  • Solid working knowledge of Microsoft Office products and HRIS. Experience with Paycom is a plus.
  • Ability to organize and prioritize tasks to meet deadlines.
  • Displays integrity and ethical behavior in all situations, flexibility, active listening and reasoning skills, good judgment, and ability to think quickly and make informed decisions and sound recommendations
  • Strong analytical and math skills, good verbal and written communication skills, ability to flex style and communicate based on audience

  • Background check and pre-employment drug testing required
  • Personal appearance must be neat and clean
  • Certain positions require a valid driver's license and ability to meet requirements of the Company Driver Policy; the Company will review motor vehicle records annually for all employees for whom driving a motor vehicle is an essential job function or when employees must obtain and drive rental vehicles during the course of conducting company business
