Senior eBilling Implementations Analyst Job at Bryan Cave Leighton Paisner LLP
Position Overview
To ensure prompt and accurate processing of the firms eBilling invoices. Assist in the continued push to automate eBilling processes and mitigate eBilling rejections. Research and resolve complex eBilling issues with billing attorneys in the firm, escalate rejections to billing department, collaborate with cross functional teams to research and resolve AR-related issues.
Responsibilities
- Work closely with Global eBilling Implementation Manager to ensure eBills are submitted in a timely manner, reconcile rejections and assist with submitting eBill invoices on an ad-hoc basis when needed.
- Assist with analyzing all eBilling procedures and identifying opportunities for improvement.
- Act as a team lead and subject matter expert for complex clients/eBilling issues.
- Assist in customer onboarding including account setups, timekeeper profiles, vendor forms, and manage third party systems.
- Liaise with billing attorney/secretary, finance team, and client representatives in the resubmission of invoices, ensuring corrective action is in place for future submissions.
- Handle and/or assist with large volume of eBilling submission assignments for key corporate clients, ensuring all client guidelines, internal protocol, and firm's guidelines are followed during submission process.
- Work with billing department to support eBilling systems by adding/removing user accounts, resetting passwords, assigning proper security levels, entering budgets, status reports, timekeeper rates, accruals on matter profiles in various eBilling platforms.
- Responsible for reviewing and updating data across multiple systems as necessary.
- Monitor daily control of the eBilling mailbox and associated queries within the firm.
- Participate in training sessions and webinars to stay abreast of the demands for eBilling clients.
- Complete special projects and ad-hoc requests regarding various issues as needed for the eBilling and finance teams.
- Have the ability to trouble shoot technical, logistical issues with LEDES submissions, extended field mappings and contact eBilling Hub customer support for guidance to avoid manual submissions when necessary.
- Promote effective work practices, working as a team member, and showing respect for co-workers.
- Participate in monthly eBilling meeting by presenting and discussing relevant topics.
- Other duties as assigned.
Essential Job Specifications/Qualifications
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
- Strong working knowledge of 1998B, 1998BI and XML 2.0 LEDES file is preferred/required.
- In depth knowledge of eBilling, Hub, key eBilling vendor systems and related systems and Finance software.
- Have a desire and willingness to learn new systems and adapt to change.
- Prior experience of working in a large international professional service firm, preferably with legal, is required.
- Confidence in building relationships and initiating communication with team members based in different offices/locations is essential.
Travel
This position may require intermittent travel domestically and internationally.
Education/Experience/Certifications
- Bachelor’s or Associate degree in Accounting, Finance or related experience.
- Five or more years of experience with eBilling, Hub, Legal Tracker, Tymetrix 360, DataCert, Counsellink, Collaborati and OnitBilling Point.
- Prior experience of multi-currency, multi-location billing and related tax regulations is essential – preferably with experience of Paperless Proforma and Elite Enterprise and/or 3E is strongly desired.
