Job Purpose
The Operations Manager’s primary role is to oversee and manage several departments, including the Sales and Client Support team, the IT Department, and the Executive Administrative Assistant. The Operations Manager will manage the implementation process for new profit relocation strategy clients, monitoring the ongoing economic substance of profit relocation strategy (“PRS”) clients during the design and implementation phases. The Operations Manager will also oversee and provide support to the TLS sales team (Account Directors) while also providing management oversight to the Puerto Rico physical office including IT and Administrative support.
The Operations Manager will also provide proactive leadership, guidance and support to all relevant resources, including managing internal communications between departments and clients. Ensure that TLS provides exemplary customer service by coordinating interdepartmental efforts for and on behalf of prospective clients and Account Directors during the sales process, new PRS clients during the implementation process, and existing PRS clients throughout the life cycle of their relationship with TLS.
The Operations Manager will also directly assist and guide the Manager in identifying issues and setting priorities in all aspects of the business to ensure profitability and growth.
Duties and Responsibilities
As Operations Manager, in fulfilling the stated job purpose, your responsibilities will include but are not limited to:
· Oversee PR physical office by providing leadership, guidance and support
· Ensure all IT areas are running efficiently and all team members have the tools and
resources needed to be productive on a daily basis
· Oversee the onboarding and implementation of all new PRS clients
· Work closely with –and be responsible for coordinating all TLS departments including
Sales, Legal, HR and Finance– in order to ensure timely ongoing implementation
· Participate and be engaged in all product development initiatives
· Review, develop and approve documents needed to define TLS products and
implementation processes and procedures (SOPs)
· Work closely with the legal and finance team to ensure implemented PRS clients have sufficient economic substance and TLS profitability is maximized
· Provide excellent communication and coordination with clients to ensure ongoing
satisfaction and retention
· Liaise with upper management to provide input necessary to ensure that the best
decisions are made regarding operational activities and strategic goals that promote
company growth.
· Manage/Oversee Client and Sales Support teams, IT department and Executive
Administrative Assistant’s daily activity and workload in order to meet goals, deadlines
and priorities
· Training and developing team members while setting them on a path for
growth/management through coaching, development and leadership
· Manage annual budgeting for Operations, Executive Administration and IT, including
monitoring and controlling costs throughout the year
· Identify areas for improvement, and development and implement plans and systems to
boost company efficiency and productivity
· Communicate PRS client implementation status to Manager and Founding Members as needed, identifying any concerns and recommending next steps
· Work closely with all departments in a team-like manner to ensure client relationships
are being managed effectively
· Add creative insight and problem-solving to all of the above on a consistent basis
· Support Account Directors and Founding Members in all sales-related activities
· Lead day-to-day operations with extremely high attention to detail from new PRS leads
to existing PRS clients
· Perform company projects and assist others as assigned by management
Qualifications and Requirements
· Bachelor’s Degree in one of the following fields; Marketing, Communication, Business
Administration, or Finance with a minimum of five -5- years of relevant work experience,
preferably coordinating projects, activities, and services, office administration or related
fields or Associate Degree with a minimum of 5 years relevant work experience,
preferably coordinating projects, activities, services; office administration or related
fields
· Extensive knowledge of computer software (such as Windows, Microsoft Office, Outlook,
Internet)
· High level of interpersonal skills with an ability to handle sensitive and confidential
situations and documentation
· Attention to detail in composing, typing and proofing materials; establishing priorities;
and meeting deadlines
· Communication skills to positively engage customers and retain their loyalty
· Committed to work within a team environment and provide excellent customer service
· Strong analytical and problem-solving skills
· Experience in managing and growing staff while providing them with ongoing support
· Ability to multi-task and work on complex projects, simultaneously and see them to
completion with limited supervision
· Strong initiative, leadership skills and work ethic
· Demonstrate self-motivation and self-discipline to work effectively in a fast-paced
environment.
· Ability to serve clients and coworkers with understanding, respect, care and integrity
· Excellent spelling, grammar and written communication skills in English and Spanish
· Excellent telephone and oral communication skills in English and Spanish
Job Type: Full-time
Salary: $49,600.00 - $61,800.00 per year
