Role and Responsibilities
Under general supervision, the Visitor Center Coordinator works in unison with the Tourist Development Council Executive Director with daily activities that foster and promote the Jackson County brand including, but not limited to, guest services, brand communications, Visitor’s Center organization. Complete needed functions within the Tourism Department and Visitors Center as necessary and assist JBOCC staff in general. Be able to work independently without direct supervision. Be able to set priorities to see that tasks are handled correctly and efficiently.
Candidate should be results driven with the goal of promoting tourism within Jackson County while respecting policies, procedures and making responsible decisions regarding use of time, money and material resources.
Candidate should be self-motivated, have excellent communication skills, high energy, strong customer relationship skills and is a team player who prepares information accurately, is accountable and efficient.
The Visitor Center Coordinator is responsible for assisting the Executive Director in effectively carrying out the planned activities of the TDC and Visitors Center. Work involves preparing all types of correspondence and reports, distributing mail, maintaining calendars and schedules, making reservations, greeting visitors, providing tours, maintenance of the office filing system, making copies, answering and routing phone calls, ensuring continuous availability of visitor information materials, and assisting with digital marketing.

Maintain professional appearance as a front-facing representative of the Visit Jackson brand.
Answer any visitor questions to the best of one’s ability. If unsure and cannot readily find answer, offer to research, and follow up in a timely manner. Always listen attentively and offer personalized suggestions for visitor itineraries.
Possess a dynamic, in-depth knowledge of Jackson’s top attractions, restaurants, shopping, hotels and lodging, events, and other tourism-related options.
Oversee operations of the Visitors Center while ensuring Visitors Center is kept organized and tidy.
Answer and/or handle incoming calls efficiently, diplomatically, and tactfully. The incumbent employee must ascertain the critical nature of any given situation to determine the degree or urgency of the request and process accordingly. Be able to handle visitors and telephone requests.
Prior to opening, inspect guest areas to ensure that all is in proper working condition, reporting any facility related problems such as cleanliness, maintenance, repair, safety, etc. to custodian, maintenance, or Director
Coordinate and manage all volunteer work programs for the Visitors Center and community outreach needs.
- Regularly explore the county and attend frequent familiarization tours/events to gain first-hand knowledge whenever possible.
- Maintain and report accurate count of all visitor engagements.
- Alert Director when supplies run low (including maps, brochures, promotional items, office supplies, etc.)
- Outreach to key Visit Jackson partners for collateral and order placement; tracking of inventory and distribution.
- Maintains calendar of local events, updates website and provides information to the public through various methods including use of social media such as, Facebook, Instagram, etc.
Maintain appointment calendar (trips, trade shows, familiarization tours, staff meetings, PTO, luncheon appointments) and regular business appointments listing names, times, affiliations, and phone numbers in case of cancellation and/or confirmation. Responsible for ensuring accuracy in sales transactions, reports, and deposits in compliance with established accounting procedures.
Address problems to handle minor customer issues.
Immediately address any unsafe activities or injuries sustained by visitors. Complete incident reports as necessary
Manage and develop content for Visit Jackson County social media.
Execute set-up and break-down for pop-up information tables/booths.
Assist with expense reports by inputting all expenses with backup supplied by staff and ensure reports are submitted within the monthly deadline timeframe
CRM management, including inputting and updating client and partner information and notes from shows, missions, and conferences.
Submit and track marketing and advertising projects.
Tracking of news/notes of interest for publishing websites/blogs/e-newsletters .
Assists with developing and implementing an annual plan and budget for Visit Jackson County.
Develops and executes marketing plans, programs, and advertising for both short- and long-term goals.
Complies with all state and local laws and contractual obligations concerning the expenditures of bed tax funds.
Make sales presentations to large groups and occasionally work/travel outside of the normal Monday- Friday 7:30 am – 4:30 pm workday.
QUALIFICATIONS AND EDUCATION REQUIREMENTS
- High school diploma (minimum)
- Five plus years customer service experience and a strong record of providing excellent customer service.
- Skill in preparing and presenting reports.
- Skill in organizing and maintaining records.
- Proficiency in cash handling and in working with point of sale systems and reporting.
- Knowledge of modern office procedures and equipment.
- Love of Jackson County with a passion for service and travel
- Solid base knowledge of local attractions, museums, entertainment venues, restaurants, shopping, hotels, and transportation options with proactive desire to learn
- Engaging personality with strong written and conversation/verbal communication skills
- Ability to read maps and provide directions
- Fluent with technology such as Microsoft Office, iPads, iPhones, Zoom, touchscreens, search engines, navigating websites, etc.
- Availability to work weekends and holidays as needed
- Able to work independently with minimal supervision
- Ability to drive oneself to various destinations throughout the county, at times utilizing one’s personal vehicle.
KNOWLEDGE SKILLS AND ABILITIES
- Excellent grammar skills and general knowledge of Jackson County
- Typing, basic computer skills to include Microsoft Word, Excel, and PowerPoint, and telephone etiquette
- Excellent customer service and interpersonal skills, with a desire to meet customer's expectations as well as demonstrate an understanding of protocol and sensitivity to diverse abilities and needs
- Effective English communication skills, including ability to interpret information, clearly verbalize and express ideas and concepts
- Computer literate and competent with Microsoft Office Suite. Ability to troubleshoot and research problem-solving strategies.

Physical Requirements: Must be physically able to operate a variety of automated office machines including computers, typewriters, Dictaphones, adding machines, copiers, facsimile machines, etc. Requires the ability to exert up to 10 - 50 pounds of force occasionally, and/or up to 10 - 50 pounds frequently, and/or a negligible amount of force constantly to move objects. Sedentary work involves sitting most of the time, but may involve walking or standing for periods of time.
